General Terms and Conditions

These General Terms and Conditions for Travellers of VietnamCK Travel Agency (hereinafter referred to as the "Terms and Conditions") form an integral part of the travel contract concluded between the Travel Agency and VietnamCK. Vietnam CK Travel Agency (hereinafter referred to as "VietnamCK") and the Customer. By signing the Travel Contract, the Customer confirms that he/she has read and agrees to the Terms and Conditions.
1. Establishment of the contractual relationship
The contractual relationship between the customer and VietnamCK is established by signing the travel contract. The travel contract is valid for all other persons specified in the contract and registered by the customer. The customer assumes the contractual obligations of the additional persons registered in accordance with the provisions of the Commercial Code. §546 et seq. of the Civil Code. The customer and the other persons registered are jointly and severally liable under the travel contract.
2. Prices of the stay
The prices of the stay include the price calculation of the stay of your choice, optionally the prices of optional services are presented. When signing the travel contract, the customer pays 50% of the services ordered.
The customer undertakes to pay the balance of the ordered services no later than 30 days before the first service is used, by transfer to the VietnamCK account listed on the VietnamCK portal - If the reservation is made less than 30 days prior to departure, the total price is payable at the same time as the contract is concluded. Any payment under the travel contract is deemed to have been made at the time of crediting the relevant amount to the Vietnam CK account at the money transfer institution. Unless otherwise agreed, the customer acknowledges that failure to meet this deadline may result in Vietnam CK terminating the travel contract and being subject to the cancellation terms in clause 6. Vietnam CK shall be entitled to unilaterally increase the price of the stay specified in the travel contract no later than 21 days before the date of arrival, only if the exchange rate of the Czech crown used to determine the price of the stay and services increases by an average of more than 5%. Vietnam CK shall inform the customer of this fact in writing no later than 21 days before the first service is taken.
3. Changes to the agreed services
If VietnamCK is obliged to change the terms of the travel contract between the customer and VietnamCK for objective reasons, it shall propose to the customer a change to the travel contract, including the price, and notify the customer without undue delay. The customer has the right to decide whether to agree to the change or to withdraw from the contract. If the price of the proposed services is higher, the difference in price must be paid; if the price of the proposed services is lower, VietnamCK will refund the difference to the customer by wire transfer to the account from which the payment was received from the customer.
4. Change of the agreed services during the stay
If VietnamCK fails to provide the agreed services or part of them properly and on time or finds that it will not be able to provide the services properly and on time, VietnamCK shall immediately and free of charge make such arrangements to provide the client with alternative services of the same quality and scope that are close to the originally agreed conditions. If the services cannot be provided other than through a service of a lower quality than that specified in the travel contract, VietnamCK shall refund the difference in price to the customer.
5. Changes to the agreed services by the customer
a) Change of the date of the first service (arrival day of accommodation)
within a period of more than 30 days prior to the arrival date, the accommodation date can be changed while keeping the same accommodation facility free of charge;
within a period of fewer than 30 days, the change is assessed according to the current cancellation fees, see point 6;
b) shortening/extending the stay at the destination
If the situation in terms of available accommodation capacity allows an extension of the stay, the customer has

c) Change of accommodation capacity

Within less than 30 days, the change is assessed according to the current cancellation fee, see point 6.

6. Cancellation fees - withdrawal, rights, and obligations of Vietnam CK
The customer is entitled to cancel the travel contract at any time before the first service starts. The cancellation must be in writing and signed by the customer. Effective date
of the withdrawal is determined by the date of delivery of the withdrawal in writing to the registered office of the

In case of withdrawal from the travel contract, the customer is obliged to pay a cancellation fee of:
30% of the price if the cancellation occurs earlier than 90 days before the date of the first service order.
40% of the price if the cancellation occurs between 60 and 55 days before the date of the first service booked
50 % of the price if the cancellation occurs between the 50th and 40th day before the date of the first service booked
75% of the price if the cancellation occurs between the 40th and 30th day before the date of the first service booked
100% of the price if the cancellation occurs between the 29th day or less of the first service booked
If the customer fails to arrive on the first day to use the ordered service and does not start using the paid services, VietnamCK is entitled to a full refund of the price.
Vietnam CK may withdraw from the contract before the first service starts if it is unable to comply with the terms of the travel contract for objective reasons (in particular, due to unavoidable events that Vietnam CK could not have prevented even if it had made every effort) or in the event of a breach of duty by the customer, which is mainly the following cases:
the customer fails to arrive at the destination to collect all the brochures, accommodation keys;
the customer fails to pay the price of the tour within the time and in the amount specified or in full.
7. Customer's obligations
a) Provide VietnamCK with complete and truthful information in the travel contract or addendum, order, including any changes to such information, in order to properly provide the services. The Customer undertakes to provide contact details such as an address, telephone, fax, and e-mail.
b) to inform VietnamCK without undue delay about any changes in the terms and conditions and content of the travel contract.
c) to take over from Vietnam CK the documents required for the use of the services (vouchers); the method of handing over the travel documents shall be agreed with the customer at the conclusion of the travel contract
(d) arrive at the destination at the specified time to receive the keys to the accommodation facility
(e) the customer is fully responsible for the validity and accuracy of all documents, including visas, required for entry to the destination
(f) the customer shall act in such a way as not to cause damage to the property or health of other customers, service providers, or Viet Cong and shall pay for any damage caused by such action.
8. Customer's breach of duty
In addition to breaches of specific obligations arising from the travel contract, breaches of customer obligations include cases in which the customer seriously disrupts the course of the stay and cases in which the customer is demonstrably under the influence of narcotic drugs or addictive substances. The Customer acknowledges that in the event of VietnamCK's withdrawal from the travel contract due to the Customer's breach of duty, the Customer shall not be entitled to a refund of any part of the price of the services that have not been used.
9. Insurance
The price of the stay does not include insurance for medical expenses for travel abroad (unless otherwise stated). Insurance is recommended and arranged in cooperation with the European Travel Insurance Company.
10. Claims
If the scope or quality of the services provided is lower than previously agreed, the following shall arise
the customer has the right to make a claim. The customer must submit his/her claim to VietnamCK in writing without undue delay, but no later than 1 month after the end of the stay according to the travel contract, otherwise, the customer's right to claim will expire. The customer may make a claim on behalf of himself/herself and on behalf of the persons for whom he/she has ordered the claimed services under his/her travel contract. In the event that the defect is removable, the customer is obliged, in accordance with Sections 415 and 417 of the Civil Code, to file a claim in his/her own interest by telephone and subsequently in writing with the travel agency immediately after the defect has been discovered, so that the damage can be prevented. VietnamCK staff is obliged to settle the claim within 30 days of the date of receipt of the claim.
11. Error in printing
Vietnam CK reserves the right to make an error in published prices or terms, only the price is shown on the valid travel contract is binding on the seller and buyer.
Subject to change of these Terms and Conditions. The new version of the Terms and Conditions shall become effective upon publication on the Vietnam CK portal.

It is important that should you wish to cancel or get free changes for your visa application with, you must send us an email in 5 -10 minutes after applying successfully to prevent any unnecessary costs from being incurred. After this time, your visa application will be auto-processed with all information you provided.

Once an approval letter has been sent to your email address, we are unable to reimburse you the visa fee and any amendment will be charged.

It is imperative that you supply us with all the correct information required for your requested visa at the time of your intended departure. cannot be held responsible for any visa granted incorrectly or refused entry due to incorrect visa information and any losses incurred. Though every effort will be made on our part to correct any visa issues prior to departure, no refund will be given by us in the event of false or incorrect information being supplied at the time of submission. We strongly recommend that you should check your visa confirmation letter against your passport and personal information prior to departure.

This visa is applicable to AIR TRAVEL only, so by applying through our website, you agree that you will FLY to Vietnam in order to get your visa stamped at the airport (not at the crossing border). We will not refund in case you DO NOT enter Vietnam by AIR once your visa is approved.

If you object to any of the terms and conditions set out in this agreement you should not use any of the products or services on the Website.


Valid passport: Passports used to apply for the online visa process must be valid at least 06 months beyond the registered date of arrival. Applicants are fully responsible for checking this passport's validity before using it to apply for Vietnam online visa process. If passports are less than 06 months’ validity counting from the date of arrival, they must be renewed before applying.

Personal details on original passport: The personal information is shown on the main page (with a picture of the applicant). Applicants are fully responsible for providing their ENGLISH DETAILS when applying for Vietnam online visa process. Special characters/letters in their own languages will not be accepted on the system for the visa process. Only ENGLISH FULL NAME at the bottom line of the passport main page is accepted to use for the visa process. Please convert the applicant’s passport details all into ENGLISH when applying for a Vietnam visa.

Multiple / Single entry: Multiple is interpreted as multiple entries, not multiple applicants.

Multiple entries mean you are allowed to enter/exit Vietnam multiple times within a given period of time (1 month or 3 months). For example 6-month multiple entry visa means you are allowed to enter/exit Vietnam multiple times from the approved date plus 3 calendar consecutive months.


Processing time for arranging a pre-approved letter offered by is based on the processing time provided by the Company handling your visa application). Under normal circumstances, it takes 3 working days, starting from the next business day after you pay and notify us of your payment receipt. In special cases, additional documents may be required and processing time may be longer than usual. In such cases, we will inform you by email.

Our service is completed once the letter of approval is sent to the email address you provided during the application process. You are required to notify us if you do not receive the letter in time, if no email informing us that you do not receive the letter within 3 days, the service is understood to be completed. We are not responsible for any delay/loss caused by the Wrong email addresses provided by applicants or the situation that applicants do not notify us by email that the approval letter is not received.

Once the service is completed and the approval letter is sent to the applicant, the information and record of the applicant will be automatically deleted from our system. is not to be held accountable and responsible for the problems and claims associated with personal data and privacy issues.


The letter of approval can NOT be CHANGED/AMENDED/CANCELLED once it is issued, so please double–check all information to make sure that it is accurate with the applicant’s original passport. All corrections must be notified and emailed to the system by the applicants within 20 to 30 minutes MAXIMUM after submission. Otherwise, the applicants are required to re-apply for a new letter of approval to make any changes.


Visa on arrival is good for TOURISM purposes only. So, by applying through our website, you are agreed that you will use the letter of approval for tourism purposes. We would like to support you completely by email discussion ONLY for getting a business visa approval letter and then a business visa stamp at Vietnam airports.


We are not responsible for any loss, delay, or cancellation of your flight ticket, tour, or accommodation booking made for your trip to Vietnam in case your visa application or entry is declined or in case we are unable to send it to you on time as promised. We accept no responsibility as the refusal is carried out by the Vietnamese Immigration Office without compensation.

Normally, it takes 3-5 working days to process an approval letter, however, there are also exceptions, delays due to unforeseen problems. We strongly recommend that you apply for a visa at least 1-2 weeks in advance of the travel date to avoid any potential issues.

Normally, it takes around 15-30 minutes to get the visa stamped at Vietnam airports upon arrival. However, sometimes it may take longer than expected due to a large number of arrivals. The circumstances are unavoidable and we should not be held responsible for any loss incurred.

Vietnam visa approval letter is usually issued to a group of travelers and therefore, you may find your name, passport number, and date of birth in the same letter as other people.
